Daily Attendance Examples

There are several ways to enter student attendance in the office. Here are some examples.

Example 1:

Tyler's mother calls to report he will be absent today. Teachers have already taken homeroom attendance. To record the excused absence:

  1. In the School view, select Attendance > Daily Office.
  2. Find Tyler's name. The A (absent code) appears. Click E in the Quick Change column.
  3. Enter additional information, as required.

Example 2:

Sasha had a dental appointment and arrives at school at 9:30. To record her late arrival:

  1. In the School view, select Attendance > Daily Office.
  2. Find Sasha's name, and click the T in the Quick Change column. The A code changes to T, and the time recorded appears in the Time column.
  3. Enter additional information, as required.

Example 3:

Kaylee had surgery and will be out for the next three days. To record her multi-day absence:

  1. In the School view, select Attendance > Daily Office.
  2. Find Kaylee's name, and click the A in the Quick Change column.
  3. On the pop-up, click Multiple Dates >> and record the Start date and End date.
  4. Enter additional information, as required.
  5. Click Save to close the pop-up.

Example 4:

A bus broke down this morning, and the students will arrive after school has started. To record multiple tardy students:

  1. In the School view, select Attendance > Daily Office.
  2. Click the Multi-Add button.
  3. On the pop-up, select a query for the appropriate bus.
  4. Click the Tardy? field, and enter other information as required.
  5. Click Save to close the pop-up.

Example 5:

The principal asks for a list of students that may have cut a class, so she can investigate each instance.

  1. In the School view, select Attendance > Class Office.
  2. Click the Filter icon, and select the Class Cut filter. The page displays a list of students who were present for the day, but marked absent for at least one period.
  3. Compare the Daily Attendance column with the Class Attendance column to look for discrepancies for each student.

 

Example 6:

A substitute teacher took class attendance on paper, and you need to enter it into Aspen. To do so:

  1. In the School view, select Attendance > Class Roster.
  2. Select the class you want to enter attendance for, and then click Students on the side-tab.
  3. Click the attendance code for each student. Enter additional information, if required.
  4. Click Post or Save.
