Run Reference Table Utilization and Reference Code reports
Use the following reports to track how reference tables and codes are being used in Aspen.
Reference Table Utilization report
To run the Reference Table Utilization report:

Log on to the District (Root Organization) view.

Select Admin > Data Dictionary > Reference > Reports > Reference Table Utilization. The Reference Table Utilization pop-up appears.

At Tables to include, select Current selection to include the tables within the current filter on the page, or All.

At Sort results by, select one of the following:

Current sort order
-
Name
-
Category
-
-
At Format, select the format in which you want the report to appear.

Click Run. The report displays the number of codes on the specified tables, as well as which data fields and tables those tables are attached to.
| Note: If NOT USED appears on the report, it means the table is not attached to any fields. But, the table might be used in a workflow. |
Reference Code Utilization report
To run the Reference Code Utilization report:

Log on to the District (Root Organization) view.

Select Admin > Data Dictionary > Reference > Reports > Reference Code Utilization. The Reference Code Utilization pop-up appears.

At Reference table, click
and select the reference table you want to review. -
At Format, select the format in which you want the report to appear.

Click Run. The report displays all the reference codes in use for the selected table, as well as a count for how often the codes are used.
| Note: If NOT A CODE appears on the report, it means the code has been created in the field by users, but is not on the specified table. This occurs when 'Valid reference code required' is not enabled. |
