Promote or demote a student

Sometimes a student’s year of graduation might change. If he is accelerated to an earlier year of graduation, you promote the student. If she is returned to a later year of graduation, you demote the student.

Notes

  • If you promote a student during the school year, be sure to view the student's transcript after you promote him or her to be sure that grades for the student's current year courses appear for the correct grade levels. If they do not, you can override the grade levels they appear for on the transcript record.

  • This option creates an enrollment record for the student, which can be viewed in the District (Root Organization), Intermediate Organization, or School view, Student > Membership > Enrollment. Deleting a record, even when fixing an incorrect year of graduation, is not recommended. Keep all records to provide a complete history for the student, including when their year of graduation was changed.

To promote or demote a student:

  1. Log on to the District or School view.
  2. Click the Student tab.
  3. Search for and select the student.
  4. Select Options > Registration > Promote/Demote Student. The Promote/Demote Student pop-up appears.

  • Field Description

    Name

    Click Search icon to select the student to promote or demote. Click OK.

    Current Primary School

    The selected student's school appears.

    Date

    Enter the date of the promotion or demotion, or click Select Date icon. and select the date.

    Reason Code

    Click the drop-down, and enter the reason for the promotion or demotion.

    Year of graduation

    Click Search icon to select the student's new YOG. The pop-up lists the student's grade level for the current and next school year.

    Grade Level

    The student's grade level for the selected year of graduation appears.
  1. Click OK. The system creates an enrollment record and updates the student’s YOG and grade level.
