Schedule a multi-section class manually

Manually create classes to group multiple sections that meet in the same room at the same time. Do this so teachers can enter attendance for all students in the class at one time, simplify enrollment management, and work with combined rosters.

You can also view these classes in the School view. Click the Schedule tab. On the Sections side-tab, click Classes. A list of multi-section classes for the current school year appears. Click a class to view the details.

To create a multi-section class:

  1. Log on to the Build view.
  2. Click the Workspace tab.
  3. Click the Classes side-tab.
  4. On the Options menu, click Add. The New Schedule Build Class page appears.
  5. Use the following table to enter information in the fields:

    Identifier

    Type a unique identifier for the class.

    Name

    Type a name for the class.

    Maximum enrollment

    Type a number for the Maximum enrollment. When the system builds this class, it uses the maximum you set for each section, and finally this number. For example, assume you determine that a maximum of 15 students from the Spanish III section and 10 students from the Spanish IV section can attend the class at any time. Then, you define a maximum of 20 for the class. This means that the system might schedule 15 students from Spanish III, but will schedule only 5 Spanish IV students to meet the class maximum.
    Inclusion control type

    If this class grouping has both general education and inclusion students, specify the number or percent of inclusion students by selecting one of the following:

    • By ratio (%) to control the ratio of inclusion students in this class grouping by a specific percentage. Type the percentage in the Inclusion value field.
    • By count to control the ratio of inclusion students in this class grouping by specifying the exact number of inclusion students the system can schedule in it. Type the number in the Inclusion value field.
    Inclusion value

    If you selected By ratio at Inclusion control type, type the percent of inclusion students that can be enrolled in this class grouping. If you selected By count, type the number of students that can be enrolled in this class grouping.

    Note: Aspen uses a 'specific over general' rule in regards to inclusion; the closer a setting is to an individual record, the more authority it has. Therefore, if you enter a value here, Aspen will use it instead of any Inclusion value entered in the course section settings (Workspace > Sections), as well as the value entered at the Control inclusion students field on the Build Scenario Preferences page.

    Closed closed at max

    Select the Class closed at max checkbox if the system cannot schedule students in the class when it reaches the maximum enrollment.

    Prescheduled

    Select the Prescheduled checkbox to indicate if the class is prescheduled.

    Note: When manually creating classes, you must set the prescheduled checkbox on the class for it to retain the schedule you set during a build run. If you preschedule only the sections within the class, the system will not make the connection between the individually scheduled sections and the class that links them.

    Class enrollment total

    The total enrollment in the class. This field is not editable.
  7. In the Sections area of the page, click Add to add the sections to this class. A pop-up appears.
  1. Select the sections, and click OK.
  2. Click Save.
